Executive Assistant

Primary Responsibilities: Reporting to the Chief Executive Officer, the Executive Assistant is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. Maintains office services by organizing office operations and procedures; reviewing payroll; controlling correspondence; designing and maintaining filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions. This position requires individual attention to detail, the ability to multitask, a high level of organization and excellent communication skills, both written and verbal.

Minimum qualifications: Associates degree in business administration, non-profit management or equivalent experience; excellent written and verbal skills, organizational skills and attention to detail; proficient with Microsoft Office, computers, technology, office equipment, and donor management software.

Preferred qualifications:  Bachelor’s degree in business, accounting, management or similar field; at least three years of demonstrated experience in office or non-profit management.

Duties include, but are not limited to: Provides administrative support for the Chief Executive Officer, including scheduling and coordinating meetings, appointments, and/or other similar activities for administration. Maintain current and accurate records for all members, volunteers and donors; develop, implement and manage processes, policies and procedures related to club operations, human resources, donor relations, and financial management; and coordinate communication with and for chief professional officer, staff, board of directors, donors, media, members and the community.

Program Administrator (Part-time)

Primary Responsibilities: Reporting to the Chief Executive Officer, the Program Administrator is responsible for coordinating administrative functions to support the organization’s after school, teen and outreach programs. This position will manage all data collection and reporting; maintain all calendars; and coordinate communication internally and externally.  This position requires individual attention to detail, the ability to multitask, ability to understand and disaggregate data; highly skilled with computers, databases and spreadsheets; and excellent organization and communication skills, both written and verbal.

Qualifications: High school diploma or equivalent required. Preferred associates degree or higher in business administration, non-profit management or equivalent experience. Preferred experience in program planning or leadership in a non-profit or youth organization.

Duties include, but are not limited to: Coordinate administrative support for programs and activities. Coordinate registration, data entry and manage the membership database. Maintain, coordinate and synchronize master schedule of programs, events, holidays and trainings for internal and external audiences. Coordinate documentation needed for grant programs, evaluations, reports and archives. Coordinate communication with parents; members, partner agencies, schools and teachers. Coordinate evaluation for reporting for grants, local and national reports, and marketing and development initiatives.
